How to Use the Hours Calculator (Time Card)

How to calculate hours worked

  1. Enter your start time and end time. Use AM or PM, or the 24-hour clock. Formats such as 9am, 9:30 PM, 0930 and 17:45 all work.
  2. Enter your unpaid break in minutes. Leave it at 0 if you were paid for it.
  3. Enter how many days you worked to get a weekly or period total.
  4. Add your hourly pay (optional) to see the total earned.
  5. Read the results as hours and minutes, and as decimal hours for payroll or a timesheet.

If your shift goes past midnight, just enter the end time on the following morning, such as 6:00 AM. The calculator will count it as the next day.

How the Hours Calculator (Time Card) Works

Hours worked formula

Hours worked = (End time − Start time) − Unpaid break

If the end time is earlier than the start time, the shift is treated as an overnight shift and 24 hours are added to the end time.

Hours and minutes to decimal hours

Payroll usually needs decimal hours, so the minutes are divided by 60:

Decimal hours = hours + minutes ÷ 60

| Minutes | Decimal hours | |---|---| | 5 | 0.08 | | 10 | 0.17 | | 15 | 0.25 | | 20 | 0.33 | | 30 | 0.50 | | 40 | 0.67 | | 45 | 0.75 | | 50 | 0.83 |

Worked example

Start at 9:00 AM, finish at 5:30 PM, with a 30-minute unpaid lunch.

  1. Time between 9:00 AM and 5:30 PM = 8 h 30 min
  2. Minus the 30-minute break = 8 h 00 min
  3. In decimal hours = 8.00

Over 5 days that is 40 hours. At $20 an hour, pay is 40 × $20 = $800.

An overnight example: 10:00 PM to 6:15 AM with a 45-minute break is 8 h 15 min minus 45 min = 7 h 30 min, or 7.5 decimal hours.

Frequently Asked Questions

How do you calculate hours worked?

Subtract the start time from the end time, then subtract any unpaid break. From 9:00 AM to 5:30 PM is 8 hours 30 minutes, and taking off a 30-minute lunch leaves 8 hours.

How do I calculate a time card with a lunch break?

Work out the total time between clocking in and out, then deduct the unpaid lunch. If your employer records lunch as separate punches, the time between the lunch-out and lunch-in punches is the break to enter here.

How do I convert minutes to decimal hours?

Divide the minutes by 60 and add them to the whole hours. 15 minutes is 0.25, 30 minutes is 0.5, 45 minutes is 0.75, and 7 hours 45 minutes is 7.75 hours.

How do I calculate hours for a night shift past midnight?

Enter the start time in the evening and the end time the next morning. When the end time is earlier than the start time, the calculator adds 24 hours to it. 10:00 PM to 6:00 AM is 8 hours before any break.

Is the break paid or unpaid?

This calculator deducts the break you enter, which is the usual meaning of an unpaid break. If your break is paid, enter 0. Rules about the length and payment of breaks vary by country, state and employer, so check your contract.

How do I work out my weekly hours and pay?

Enter how many days you work, and the calculator multiplies the daily hours by that number. Add your hourly rate to see the total pay. It does not apply overtime rates, so use the overtime pay calculator for hours beyond 40 a week.

Which time formats can I type?

You can type 9, 9:30, 9am, 9:30 PM, 0930 or 17:45. If you leave out AM or PM, the time is read on the 24-hour clock, so 5 means 5 AM and 17 means 5 PM.
